Which messages does a stay need?
Five are enough, each at its own moment, so the guest has as little as possible to ask.
- After booking: thanks, and what happens next.
- A few days before arrival: the address, the check-in time, directions and the Wi-Fi.
- On the day of arrival: a short question whether everything is fine.
- The day before checkout: the checkout time and what to do before leaving.
- After checkout: thanks, and a request to say what could have been better.
Example: the message after booking
“Hi [guest first name], thank you for booking! We look forward to having you on [check-in date]. A few days before you arrive I will send the address, how to get in and the Wi-Fi. If you have a question before then, write here.”
Example: the message before arrival
“Hi [guest first name], you arrive on [check-in date]; check-in is from [check-in time]. The address is [address]. [Directions]. Wi-Fi: [Wi-Fi name], password [Wi-Fi password]. Message me here when you are on your way.”
Example: the message before checkout
“Hi [guest first name], a reminder that checkout is on [checkout date] by [checkout time]. Before you leave, please put the keys on the table, the used towels in the bathroom, and take the rubbish out. Thank you for staying!”
Example: the message after checkout
“Thank you for staying, [guest first name]. If anything could have been better, tell me here: I read every message. If you enjoyed it, a review helps the next guests choose.”
How do you schedule messages on Airbnb?
Airbnb calls them scheduled quick replies. They go out in the listing's time zone, and a message can be up to 4,000 characters.
- Open Messages, then Settings and Manage quick replies.
- Choose Create, name the template and write the message, inserting details: the guest's first name, the check-in date and time, the address, the Wi-Fi.
- Choose the listings (Choose listings) and the moment (Scheduled for): before or after a new reservation, check-in or checkout.
- Choose Save. In a reservation's own thread, a message can be skipped, sent now or edited.
What may a message not contain?
Before a booking, Airbnb's rules forbid asking guests to talk off Airbnb and links that take them off the platform, and a payment outside Airbnb may never be asked for. Contact details may not be asked for before a booking either.
Do not send a door code days ahead with everything else: a code belongs to the stay, and it is safest sent close to arrival.
How does AxiRent do it?
For every confirmed booking AxiRent sends the sequence of messages you set: at confirmation, or so long before or after check-in or checkout, through the booking's channel, by e-mail or by SMS, and each one only once. A message can carry only the booking's plain facts and your own instructions, never a door code or a link: with a TTLock lock, the door code goes in a letter of its own the day before arrival. Guests' replies from every channel land in one inbox, where AI drafts each answer for you to send. More on short-term rental management.
